When you submit a repair enquiry through our website we collect:

  • Full name — required, to address you correctly
  • Email address — required, to send you a confirmation and follow-up
  • Phone number — optional, if you would prefer to be contacted by phone
  • Home golf club — optional, to help us understand your location and schedule
  • Trolley model & issue description — required, to assess and quote for the repair

Automatically Collected Data

When you visit our website, our service providers may automatically collect:

  • IP address and approximate location (country / region)
  • Browser type and device information
  • Pages visited and time spent on site — only if you consent to analytics cookies

3. How We Use Your Data

  • To respond to your repair enquiry — we process your contact details and trolley information to assess your request and communicate with you about the repair.
  • To send you a confirmation email — we automatically send an acknowledgement when you submit a form.
  • To improve our website — if you consent, anonymised analytics data helps us understand how the site is used and where we can improve it.
  • For advertising — if you consent, we may use cookies to show relevant ads on other platforms (e.g. Google Ads).

4. Legal Basis for Processing

  • Contract / Pre-contractual steps (Article 6(1)(b) UK GDPR) — processing your name, email, and repair details is necessary to respond to your enquiry and provide the service you have requested.
  • Consent (Article 6(1)(a) UK GDPR) — analytics and advertising cookies are only set after you have given explicit consent via our cookie banner. You may withdraw consent at any time by clicking Cookie Preferences in the footer of any page.
  • Legitimate interests (Article 6(1)(f) UK GDPR) — we have a legitimate interest in maintaining basic server logs for security and abuse prevention.

5. Cookies & Consent Mode

We use three categories of cookies:

  • Essential cookies — strictly necessary for the site to function. No consent required.
  • Analytics cookies — Google Analytics 4 (G-EQEZEEBTEG). Only activated with your consent. Used to count visits, measure popular pages, and improve the site.
  • Advertising cookies — used to show relevant ads and measure campaign effectiveness. Only activated with your consent.

We implement Google Consent Mode V2, which means Google Analytics and any advertising tags default to a privacy-safe denied state until you grant consent. When consent is denied, ad-click data is redacted and URL passthrough is used for aggregate modelling only — no personal data is shared with advertising networks.

Your cookie preferences are stored in your browser's local storage under the key gtr_cookie_consent. No cookie preference data is sent to our servers.

6. Data Sharing & Third Parties

We do not sell your personal data. We share data with the following service providers only to the extent necessary to operate the site:

  • Google Firebase (Firestore) — stores your enquiry securely in a UK/EU-region Firestore database. Google acts as a data processor under a Data Processing Agreement. Firebase Privacy Policy.
  • Firebase Trigger Email Extension — queues and dispatches your confirmation email and our internal notification via an SMTP relay configured to our business email account.
  • Google Analytics 4 — receives anonymised usage data only when you have consented to analytics cookies. Google Privacy Policy.

7. Data Retention

  • Enquiry records — retained in Firestore for up to 2 years from the date of submission, then deleted. Records relating to completed or cancelled repairs may be deleted sooner.
  • Email logs — retained by our email provider for up to 90 days.
  • Analytics data — Google Analytics data is retained for 14 months (the minimum configurable period in GA4).
  • Cookie preferences — stored locally in your browser until you clear your browser data or change your preferences.

8. Your Rights Under UK GDPR

You have the following rights regarding your personal data:

  • Right of access — request a copy of the personal data we hold about you.
  • Right to rectification — ask us to correct inaccurate or incomplete data.
  • Right to erasure — ask us to delete your data where there is no longer a lawful basis to hold it.
  • Right to restrict processing — ask us to pause processing of your data in certain circumstances.
  • Right to data portability — request your data in a machine-readable format.
  • Right to object — object to processing based on legitimate interests.
  • Right to withdraw consent — where processing is based on consent, you may withdraw it at any time without affecting the lawfulness of prior processing.

9. Security

Your data is stored in Google Firebase, which provides encryption at rest and in transit, access controls, and SOC 2 / ISO 27001 compliance. Access to enquiry records is restricted to authenticated technicians using our internal dashboard. We do not store payment card data.

We may update this policy from time to time. The “Last updated” date at the top of this page will always reflect the most recent version. Significant changes will be noted on the website.
